Getting Started with Files

Files gives every project one place to keep its documentation: drawings, schedules, specs, permits, reports, photos. Instead of hunting through email for the current site plan, you keep it next to the captures it relates to.

Opening Files

Open a project and click Files in the left sidebar. Every project has its own Files area, and what you can see and do there follows your access to that project.

The layout

Three parts:

  • The folders panel on the left lists All Files and every folder, each with a count of what is inside. Trash sits at the bottom.

  • The file list in the middle.

  • The header bar at the top with search, Upload, and Share.

What the columns tell you

Files opens in table view, which shows six columns. Click any heading to sort by it, and click again to reverse.

  • Name — the file name, with an icon for its type.

  • Type — PDF, image, video, and so on.

  • Version — which version you are looking at. A file that has been replaced shows v2, v3 and so on. See Preview Files and Use Version History.

  • Size

  • Uploaded by — who put it there. Files we add on your behalf show as OnsiteIQ Assistant.

  • Modified — when it last changed.

Table view and grid view

The two buttons at the top right switch between list view and grid view. Table is the default and is best for scanning a lot of files or sorting by date. Grid shows thumbnails, which is quicker when you are looking for a drawing or a photo you would recognize on sight.

Storage

The header shows the file count and how much storage the project is using. Hover the information icon next to it for the detail.

Storage counts every saved version of each file. Recently deleted files aren't included but still use storage for up to 30 days, so actual usage may be higher.
