Share a Project or Create a Public Link

OnsiteIQ - Symbol - Black.png

This tutorial covers the Share dialog: inviting people into a project, and the two kinds of link you can send.

Things to Consider

Every project has a Share button in the top right of the project page. You can either:

  1. Invite people to create an OnsiteIQ login, or

  2. Create a limited public link to share with non-OnsiteIQ users.

Invite team members

Use this when the person should have an OnsiteIQ account on the project.

  1. Open the project and click Share in the top right.

  2. Under Invite team members, enter one or more email addresses.

  3. Pick a Role. It defaults to Project Collaborator. See Account Roles and Project Roles Explained if you are weighing options.

  4. Click Add to project.

New users get an invite email to join OnsiteIQ from customersuccess@onsiteiq.io. People who already have an account are added to the project directly. This does the same thing as adding someone from Settings > All projects > project > Users, so use whichever is closer to hand.

The Copy page link icon beside Add to project copies the address of the page you are on. It grants no access on its own, so it is only useful for people who can already reach the project.

Public share link

Use this when you want to share limited access to a project's OnsiteIQ documentation without giving the person full access.

The link matches the view you are in. Navigate to exactly what you want the person to see before you click Share. Share from the Progress Tracking page and the link opens that page. Share from a 360 location and the link opens that location. Share from Files and the link opens the project's files.

  1. Open the project and go to the view you want to share, on the date you want to share.

  2. Click Share in the top right.

  3. Under Public share link, choose how long the link should stay live: 7 days, 30 days, 90 days, or No expiration. The default is 30 days.

  4. Click Create and copy link. The link is copied to your clipboard, ready to paste into an email.

What the viewer can see

A public share link opens a single view, fixed to the date you shared. Depending on where you clicked Share, that is:

  • The Progress Tracking page for that project on that date,

  • A 360 view showing one location from that site walk, on that date, or

  • The project's files.

That is all the viewer gets. They cannot change the date, move to another location, open another project, or reach anything else in OnsiteIQ. Doing any of that requires a login and access to the project.

They do not need an OnsiteIQ account, and they will not appear in your Users list. Anyone the link is forwarded to can open the same view, for as long as the link is live.

About "No expiration". A link with no expiration stays open indefinitely, including after the person you sent it to changes roles or leaves their company. The view itself is limited, but it stays reachable by anyone holding the link. Reach for a dated option first, and save "No expiration" for cases where you have thought about who might end up holding the link a year from now.
